• Operations Support to the MD and APAC and Europe Senior Managers. Specific responsibilities include:
o Producing various operations reports, including staff productivity, staff travel percentage, project timelines reporting, DRO and Cycle time calculation.
o Maintaining staff/resource calendar with approved leaves, travel schedule, travel itineraries, etc.
o Update and maintain APAC and Europe budget to actual results and monitor WBSEs.
o Track departmental initiatives
• Executive Assistance for the MD and APAC and Europe Senior Managers. Specific responsibilities include:
o Manage complex calendars of the MD and SMs (including extensive rescheduling) via Outlook.
o Schedule leadership meetings per CRM plan and co-ordinate with EAs of senior leaders to manage complex scheduling conflicts.
o Arrange and coordinate internal and external meetings and trainings. Handle routine and non-routine logistics (e.g. contact meeting participants and coordinate responses, compose meeting materials co-ordinate logistics, travel, facilities, F&B, agenda, and speaker diaries for trainings, group meetings, and leadership visits).
o Coordinate complex travel arrangements, typically involving multiple changes and destinations based on understanding of Executive’s availability and obligations. Support with travel documentation and procedures (itineraries, visa/passport procedures).
• Logistics and co-ordination support for APAC and Europe teams, including:
o On-boarding/off-boarding support for FTEs and Contractors.
o Procurement support – IQN requests, Purchase Orders, Enterprise ID creation.
o Coordinate work with third-party suppliers – both internal and external – to address support needs.
o Co-ordinate subscriptions and payments for professional fees and delegate charges for trainings and conferences.
o Scheduling candidate interview with HR and arranging interview logistics.
• Global Operations Support, including:
o Work with a counterpart based in Chicago to schedule pre-audit meetings.
o Post/Maintain on SharePoint sites and send out Customer Surveys.
o Maintain departmental Org Chart
o Maintain report distribution list and update with changes in organizational structure and role changes.
o Bachelor’s degree from a reputed university with first class.
o Post graduate degree preferred.
o Commerce or Accounting background preferable.
